Duties/Task :
• Processes the new engagements for the month - import new employee data file from HR administrator once verified, and then link employees to the correct hierarchy, gl code, restaurant, applies the appropriate bargaining council agreement if
• Processes the promotions and transfers for the month - employees linked to the correct hierarchy, GL code, job title, hourly rate, Payroll codes, annual leave balances check etc.
• Approves the annual leave, sick leave and family responsibility leave of allocated restaurants via ess
• Processes maternity leave transactions - continue with the company retirement fund deductions and stop other deductions
• Ensures all deductions are processed as per management instructions - transport, shortages, subsistence, etc.
• Imports and verifies the hours from the various clocking systems - (SIMPHONY, MICROS, GAAP, ORICALE) and manual timesheets received from Restaurant Managers
• Sends pay registers for restaurant management to the District Managers for verification and approval for further processing once amendments have been applied
• Sends hours report for crew to restaurant managers for verification and approval for further processing once amendments have been applied
• Processes terminations for the month - systems changes, hours due, respective deductions, termination reasons and annual leave payouts (management and crew separately)
• Runs and checks the hours reconciliation before submission to payroll supervisors. Once completed, process all amendments (management and crew separately)
• Runs the General ledgers and submits to the Finance department (management and crew separately) - checks and amends GL exports
• Processes taxi payments, send to Restaurant Managers for verification and uploads to the bank once changes have been made (management and crew simultaneously)
• Runs all required monthly reports - variance, analysis, company totals, remuneration lists and leave movements,
etc. (management and crew separately) and save electronically
• Runs the payslips on sage and uploads documents on info slips (management and crew separately)
• Processes the UIF documents for terminated employees - UI 19, UI 2, 7, salary schedule, etc. and submits to Department of Labour
• Checks the provident fund is linked to new employee after 3 months and deductions are accurate
• Compiles monthly leave liability reports and sends to the respective restaurant and district managers
• Runs the monthly no-pay list and send to management and Employee Relations - identifies and actions terminations from this list for processing
• Attends to Payroll queries and writes reports as and when required
• Export ACB file for Salaries & Wages
• Upload ACB file for salaries on Nedbank
• Load third party payments (Garnishee orders, Momentum provident fund) onto Nedbank.
• Upload transport providers payment by the 3rd of a month onto Nedbank
• Upload monthly provident fund contribution file by the 3rd of a month to the Allan Gray portal.
• Prep monthly Momentum provident fund contribution schedule to submit to the fund
