Duties and Responsibilities:-
• Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.
• Input document data into the standard registers ensuring that the information is accurate and up to date.
• Generate the various document control reports as required.
• Typing of site documents, and follow up of all the site needs.
• Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable.
• Maintain updated records of all approved documents and drawings and their distribution clearly.
• Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
• Maintain the files and control logs as required by the project.
• Well versed with electronic document control system
• Quick at learning new concepts and technologies and putting them to use.

Duties and Responsibilities:-
• Understanding and contributing to Contractor Quality and HSE Policy and Guidelines
• Ensure that all contractual / Contractor and local authority requirements for Quality, Health Safety & Environment (HSE) requirements are complied with
• Ensuring all contractual correspondence is registered in incoming registers and stamped
• Ensuring copies are given to all relevant personnel on time as indicated / advised
• Reading and understanding contents and ensuring faster response when matters are critical
• Identification of all project / tender files in a logical manner - easy to access and retrieve
• Retention files archived outside the department are known and listed
• Ensuring superseded documents are isolated and only latest revisions are issued
• Document acknowledgements, checking completeness of documents and informing to the relevant department / section as required
• Ensuring Material & Drawing submissions to the Consultant
• Ensuring submissions are completed on time, submitted and acknowledgements are taken and index / register are maintained and updated
• Ensuring confidential matter is retained in the best ethical way
• Ensure soft copies are archived and regular back ups are taken
• Ensuring other instructions from management are complied with
• Preparing project handing over documents and submissions
• Coordinate with subcontractors for project handing over procedure.
Additional Duties and Responsibilities:-
• Preparing of Daily, weekly & Monthly Reports to head management & to the Consultant
• Preparing Request for information & Requests for inspection to the consultant
• Preparing concrete Test Requests & maintaining concrete cube register
• Preparing enquiries to suppliers & follow up
