• Writing reports, letters (Arabic / English) using MS office programs (Excel, PowerPoint, Word & Access) and submit the to the manager
• Collect and maintain Document control, organising and filing of paperwork, documents and computer-based information.
• Collect information from various departments to generate the monthly report related to company activities showing the activities progress and achievements of units
• Keeps management informed by reviewing and analysing special reports, follow up the assigned tasks or instructions by the manager to certain employee or department and report the results to the manager
• Managing and planning the meeting including booking meeting rooms, prepare meeting agenda, inform meeting participants, records MOM and follow up the required actions and implementation and report the results to the manager.
• Answering and transferring the incoming calls to the manager office and provide the employees or outside clients with accurate information required
• Maintain and update company mobiles and phones directory
• Maintain build strong and professional business relationship with internal and external customers

• Continually improve and develop department performance within the fuel costs reduction and control, spare parts cost, vehicles and materials consumption and supply strategies
• Manage and control IT software (SAGE) for stocks level control and inventory for company spare parts, vehicles, fuel and materials.
• Manage the logistic cycle using the information from logistic IT software (SAGE) regarding materials requisitions, purchase orders, negotiate with customers and suppliers, Tenders participating, delivery and receiving the materials, warehouse in and out
• Advise Warehouse regarding the safety Procedures of materials and stocks
• Conduct Fuel consumption analysis to control and reduce fuel cost
• Prepare daily stock assessment actual reports and compare to (system) sage and follow up required adjustments .
• Follow up the invoices of the suppliers and payments with Finance department
• Assist logistic Manager in preparing department goals, objectives, strategic plans, KPIs, policies, standards and operating procedures to meet business objectives.
• Prepare contracts with legal departments regarding rental cars from contractors, monitor contracts execution and ensure contractors carried out all terms & conditions
• Monitors the performance of rental and owned vehicles of Coca Cola including light and heavy vehicles to ensure smooth, safe vehicles operation & contact contractors if any vehicles need repair, service or change
• Work closely with Sales and Marketing department to achieve planned targets
• Timely distribution of latest revision of documents related to licenses, insurance and fuel cards to all appropriate users
• Plans, organizes and manages the work of the coordinators to ensure that the work is accomplished in a manner consistent with organizational requirements
• Prepare the requirements of the departments and follow up to provide all necessary tools and office equipment to ensure effective and smooth work operation in the department
• Prepare the daily, weekly and monthly report to department manager
• Ensuring company products appear in the right store at the appropriate time and in the correct quantities.
• Working closely with sales teams to accurately forecast trends, plan stock levels and monitor performance.
