DUTIES AS EXECUTIVE ASSISTANT:
• Undertake all executive support work required by the SVP - HR & ADMIN to help him discharge his duties efficiently and effectively.
• Proactively manage the daily work to provide excellent support, consistently re-planning and prioritizing work as required (e.g. maintain daily appointments, plan & organize meeting and liaise with external clients and division/department assistants).
• Manage the SVP - HR & ADMIN's committee memberships and prioritize that role in light of his ongoing responsibilities.
• Manage varied internal and external communication and SVP - HR & ADMIN engagement with the CEO and/or the Board.
• Distribute/communicate the decision/directives that come to the SVP - HR & ADMIN either from the Board or senior management and make sure that a report/circular captures the outcomes/updates accordingly.
• Act as the interface to the SVP - HR & ADMIN and primary point of contact for internal staff.
• Maintain the confidentiality of sensitive information and manage all confidential correspondence on any matter.
• Take minutes of various meeting when required by the SVP - HR & ADMIN.
• Draft e-mails, letters, reports, memos as required.
• Assist senior leadership team members as required.
• Execute any other duties assigned by the SVP - HR & ADMIN.
DUTIES & RESPONSIBILITIES AS SENIOR OFFICER:
• Engaged with the HR & ADMIN Team in all matters required by the different functions of recruitment, organizational/learning and development, compensation and benefits, employee performance management and appraisal, administration, etc.
• Act as a point of contact with Human Resources for any issues related to employee between entry level up to senior management starting from the instant of “vacant job” to exit point.
• A channel for formal/informal discussion between employees and line managers to proactively and jointly resolve issues through the support of the assigned HR personnel.
• Acting HR business partner for emergency and short term leaves of any team member ensuring smooth functional support and customer service.
• Review, maintain and draft HR & Administration Policies.

• Ensure the timely and successful delivery of our solutions according to customer needs and objectives.

• File papers and documents; undertake other duties such as researching through the internet.
• Perform all data entry into Career Fair and Internship data bases, including entry of students’ intake, tracking of application documents, enrollment documents, etc.
• Managing internship programs and securing positions for students in companies through phone calls and email approaches.
• Prepare files for all applicants. Communicate status of applications and transfer files to the responsible person or department.
• Assisting students to achieve their knowledge by emphasizing main ideas of requested subjects of understanding; advising time management and report writing techniques.
