• Directly reports to the Chief Executive Officer and Managing Partner.
• Supports the company operations by maintaining office systems and supervising office staff.
• Partner with the HR/Admin Department to design, implement and maintain office policies by establishing SOP, measuring results vs standards and making necessary adjustments.
• Assign and monitor administrative and secretarial responsibilities and tasks among office staff.
• Responsible for managing office services by ensuring office operations and procedures are organized, supply requisitions are reviewed and approved.
• Provides the support in preparation and submission of the Company Prequalification for tendering.
• Determine current office trends and provide a review to the management to act on.
• Preparation and dissemination of all official Memo and Policies of the Company.
• In charge of all the outgoing correspondence for the upper management making sure that it is in order, coordinated and with zero to minimal errors.
• Handles the presorting and initial interview of new applicants for recruitment and selection process.
• In-charge of notifying the Upper Management to all their task/works required and making sure that it will be completed on time.
• In-charge of making sure that the GM and CEO’s daily general needs are provided and met.
• Ensure that processes needed for the Quality Management System are established, implemented, maintained and monitored.
• Report to Top Management on the performance of the Quality Management System and any need for improvement.
• Ensure the promotion of awareness of Quality Management System requirements throughout the organization.
• Liaison with external parties on matters relating to the Quality Management System
• Organize Management Review Meeting as per the procedure.
• Organize Internal Audits as per the procedure.
• To provide necessary resources (Human and physical) to implement and maintain the Quality Management System.
• Overall in-charge of all the Secretary/Document Controllers for the Company.
• In-charge of making sure the all Document Controllers are meeting the assigned task assigned and providing assistance to meet it.
• Conducts audits and reviews to the Document System of the Company making sure that all records/documents are handled, recorded and stored properly for proper distribution and easy retrieval of information.
• Formulation and implementation of new systems for the documentation needs of the Company.
• Implementation of all Company Policy.
• Assist the HR Department in handling the needs of the Employees.
• Handles the presorting and initial interview of new applicants for recruitment and selection process the Company.
• In-charge of the preparation and updating of the Company Prequalification.
• Provides the updates and highlighting of requirements from the Client to all concern departments for Tendering.
• Coordination of all concern departments and monitoring the progress of the works making sure that all milestones will be met based on the deadline set.
• Compiles and Reviews the Final Tender Package making sure that the all requirements are met and the full Tender submittal is in order with minimal to zero mistake as per the Tender Instructions.
• In-charge of notifying and raising the flag to the Company Upper Management to any concerns related to the Tenders.
• Provides daily briefing and updates to the CEO/Managing Partner for all the projects handled by the company.
• Highlights any incident and overall office/staff status with the concerns reported/noted from the Company day to day activities to the CEO/Managing Partner.
• Handles the preparation of all the outgoing correspondence for the upper management making sure that it is in order, coordinated and with minimal possible error.
• In-charge of notifying the Upper Management to all their task/works required and making sure that it will be completed on time.
• Preparation and dissemination of all official Memo and Policies of the Company.
• Communicates/liaise the concerns/request/complains of all departments of the company ensuring that it will reach the CEO/Managing Partner.
• In-charge of making sure that the Managing Partner and CEO’s daily general needs are provided and met (e.g. drivers for Airport Pick-up/Drop-off, Hotel bookings, Plane Tickets, Food and others).
• Directly reports to the Project Manager.
• Provides updates and reminders to the Company CEO and Project Manager.
• Manages all the correspondences / documents between the Company, sub-contractors, Consultants and the Clients.
• In-charge of the Compilation of the Daily/Weekly/Monthly Progress Report for the project ensuring it is in order and all concern departments meets the requirements.
• Handles monthly and daily time report for the Project Staff.
• Maintaining a systematized and organized recording of all incoming and outgoing documents.
• Helps and assist the project manager in every way possible.
• Helps and assist the office staff in document technical issues.
• Handles and maintains the office supplies.
• Handles and prepares the approval of the Material Requisitions.
• Handles and prepares e-mails for fast and accurate circulation of information for all staff.
• Preparation and updating of the Document and Submittal Trackers use for the whole project.
• Prepares the weekly and monthly progress PowerPoint Presentation.
• Daily monitoring and updating of the Submittal trackers via on-line or Manual system.
