* Reports directly to the Group General Manager
to include but not limited to: photocopying, scanning, faxing, mailing and filing
* Manage petty cash and purchase of office stationaries
* Preparing inventory & budget for office supplies, stationeries, toiletry.
* Attends secretarial to the General Manager
* Organizing the Group General Manager’s meetings and conference calls.
* Preparing and maintaining the confidentiality of all correspondence letters & memos.
* Consolidating reports coming in from hotels into one brief & accurate report to be submitted to GM & Dept. Heads.
* Meet and greet clients and visitors by acting as the Point of Contact for the General Manager.
* Controls all documentation & Keeping filing systems.
* Screening all incoming calls, correspondences and reports.
* Coordinating with all the other secretaries of GM’s in case they might require the assistance that involves the Group GM.
* Coordinating with other Departments (HR, Purchase, Accounts, and Audit etc.) to assist us in all other areas that we may require and vice versa.
* Ensuring the daily office operations is smooth by monitoring duties and responsibilities of the office staff and coordinating with the Administration office.
