- Process and send documents via Aconex (EDMS )
- Responsible for coordinating with all departments of the company in order to assure that all documents are kept in the right place and in the right department file archive.
- Regularly audit on corporate documents in order to ensure that all documents are properly submitted to other departments which are very necessary.
- Keep the rules, regulations and the principles in mind upon submittal / receiving the documents effectively with the help of the staff.
- Always follow the company’s standard operating procedures in submissions and receiving of documents.
- Checked the standard quality as documents with poor quality may lead to further an operational problem.
- Ensure that all the confusions are cleared that all documents have no errors in file-names, submissions, etc. before submitting it to the next department to avoid confusion.
- Establish and maintain an effective filing, archiving and retrieving system for paper documents in accordance with the Company Quality Assurance procedures.
- Identify ideas for continual improvement of Company Procedures.
• Attend Client meetings when necessary as advised by the project director.
• Manage & supervise the whole document control section.
• Process and submit document through Aconex. (EDMS).
• Establish and maintain an effective filing, archiving and retrieving system for paper documents in accordance with the Company Quality Assurance procedures.
• Create and maintain a compatible system for effectively filing, archiving and retrieving electronic documents.
• Establish and maintain a tracking facility to enable documents to be updated and retrieved easily.
• Establish and maintain drawing register for all received Construction issue drawings developed from Tender issue.
• Control the issue and return of any construction document to project staff.
Ensure that only the latest issue documents are available for the use by superseding all obsolete documents.
• Provide Project Manager with weekly/monthly reports for incorporation into the Project Reporting Procedure.
• Collect information for inclusion in the Operation and Maintenance manual.
• Identify ideas for continual improvement of Company Procedures.
• Maintain hard and soft files of all incoming and outgoing correspondence.
• Process and submit document through IMPACT system (EDMS).
• Maintain and distribute the Project Diary.
• Track document submission, material approval
• Cary out system back up each week and maintain data log.
• Maintain staff records such as expense claim forms, time sheets, holiday leave

• Ensure the timely issue of all documents to internal and external customers.
