Key Responsibilities - Operation
Transporter & Fleet Integration
•Ensures data entry in the fleet program “Fleet Wave”, (Fuel, Repair Vehicles, and Stock)In coordination with the VFM, organize and prepare monthly fleet KPI report.
•Coordinate with commercial transporters to validate technical integration requirements (API specs, authentication, formats, frequency, and linking methods).
•Maintain Transporter Integration Dossiers and reconcile transporter truck lists with operational transport records.
•Verify GPS functionality, monitor GSAT/Fleet Wave tracking systems, and prepare corrective action reports.
•Review fuel usage, report variances/discrepancies, and escalate issues to superiors.
•Support accident reporting, insurance documentation, and on the spot response with authorities/local insurers.
•Open accident cases in the database, complete files per regulation, and monitor vehicle tracking systems (Speed Cast GSAT).
•Implement preventive maintenance schedules to reduce downtime and operational costs.
Compliance & Risk Control
•Align fleet operations with contractual obligations, ensuring GPS/Fleet Finder compliance.
•Prepare evidence packs for non compliance (missing/non functioning GPS, persistent gaps) and support contractual remedies.
•Apply controls from the Logistics Risk and Control Matrix to mitigate operational and financial risks.
•Maintain audit ready documentation and ensure adherence to organizational policies and standards.
Reporting & Coordination
•Provide weekly progress and risk updates to fleet management, highlighting issues requiring guidance.
•Produce monthly summaries/dashboards on fleet performance, integration health, and recurring issues.
•Facilitate technical alignment sessions between transporters and fleet focal points, tracking actions to closure.
•Support SOP development for fleet processes and escalation pathways across sub offices.

Warehouse Coordination

Generate monthly reports on p, fleet, and warehouse operations.
