JOB PROFILE:
Recruited to start up the HR Department of the Organization. Managed the startup and full spectrum of all HR operations and programs.
RECRUITMENT:
•Coordinating with Clinic Director & Medical Director for Manpower Planning.
•Responsible for total recruitment process from identifying suitable candidates, interviewing, selecting, finalizing compensation & benefit planning.
•Coordinating with public relations officer for all the visa process & other formalities for the selected candidates.
•Coordinating and processing the DHA (Dubai Health Authority) license for all new medical staff as per the rules & regulations.
HR ACTIVITIES:
•Formulation of appropriate HR policies in alignment with the company’s business policies and decisions.
•Developing plans to boost up the morale and motivating the employees.
•Coordinates with departments to participate in the Various HR Initiatives
•Ensure that the activities related to the staff welfare measures are administered.
•Designed Employee Orientation Program to include Clinic tour, Departmental interactions, HR Information and Company Resources.
•Handled Staff Payroll Processing, Leave Allowance and other permitted reimbursements in coordination with Accounting Department.
•Good Knowledge of DHA License processing, transfer and renewal.
•Handled complete Exit Formalities to include Final Settlement Preparation and other procedures.
Grievance Handling:
•To interact with employees on a proactive basis with the objective of handling issues at the start and to intervene wherever necessary to ensure smooth functioning of work.
Training and development:
•Coordinating with the departments for behavioral and technical training.
•Ensure medical staff attends CME (Continuous Medical Education) sessions and maintain the CME requirements as per DHA rules & regulations.
OTHER RESPONSIBILITIES:
•Coordinated with Medical Director to ensure clinic follows the DHA (Dubai Health Authority) & Dubai Municipality rules and regulations.
•Active team member in preparing the clinic for the Weyak Inspection from DHA.
•Managed the online access of the clinic in the MOH (Ministry of Health) website. Handled the online approvals for Company website, Medical Advertisements, Brochures, or service promotions.
•As Quality Controller to ensure the clinic meets the standards of quality and in preparing the necessary policies and procedures for the clinic.
•Handled and involved in the Clinic day to day operations for more than a year until taken over by the Clinic Manager.

Coordinating with Operations head for
Prepare & issue of experience letter, salary certificate, NOC certificate, exit letter, appreciation letter, memos & circulars.
•Prepare the monthly attendance template on the basis of employee time sheet. Inform the payroll department accordingly.
•Organize and maintain personal file and the employee database. Employee file check list form was introduced as an initiative for better process.
•Prepare various daily and periodical HR reports like manpower status, overtime data & other related reports.
•To assist employees with obtaining employment visas, health cards, and provide clear guidance throughout the entire process.
•Ensure that all staff visas, labour cards, passports & health cards are renewed within the time limit.
•Preparation & maintaining of employee records for
one of the software development service provider. The company developed software packages for placement agencies, marketing company, hospitals and Construction Company.
Assisting the Head - Human Resources in the formulation of appropriate HR policies in alignment with the company’s business policies and decisions.
•Responsible for Awards and Recognitions for the employees as a part of motivation and encouragement.
•Maintaining & updating the personnel files of all the employees.
•To initiate, manage and nurture HR initiatives like Suggestion Schemes, Communication boards, Birthday Cards, and Employee of the Month.
•Handling the induction program for all the new employees and trainees.
Coordinating with Project Manager for the Manpower planning in various projects.
•Resume processing and resume assigning as part of initial recruitment.
•Coordinating with the various project managers for arranging and scheduling of Technical interviews.
•Responsible for identifying recruitment sources i.e. searching database, headhunting, referrals, job portals and publishing ads.
•Preparing weekly/monthly recruitment activity reports.
JOINING FORMALITIES:
•Prepare the induction training calendar & conduct the induction program.
•Issue of appointment /Offer letter to new joinees.
•Assist employees in completing joining formalities including the online formalities.
•Issue of Joining Kit to employees.
•Coordinating in process of opening new bank account for the staff.
•Introducing them to the team and making them comfortable.
•Collecting relevant documents from employees at time of joining and doing needed reference checks.
PERFORMANCE APPRAISAL :
•Assisting and helping in the design and implementation of a performance appraisal system for staff.
•Preparation of the Appraisal Forms and handling all the formalities related to the appraisal of employees on yearly basis as per the policy.
•Employee counseling on performance and other job related matters.
HR OPERATIONS:
•Maintaining & updating the Employee database.
•Tracking attendance and helping payroll team with the maintained database.
•ORACLE HRMS- Input of data in Oracle system, updating and keeping track.
•Developing plans to boost up the morale and motivating the employees; Keeping a track on the manpower turnover.
•Conducting Employee Awards & Recognition programs. Ensure employee of the month is selected & appreciated as a part of motivation.
•Spot awards implemented at project work site location. Coordinating with the project managers for the nominations & finalization.
•Grievance handling, counseling the team members and coordinating with the management for a solution to the problems.
•Coordinating with Team Heads in maintaining an environment of harmonious employees.
HR RECORDS & REPORTS:
•Preparation of daily MIS (Offers pending and rollouts per day).
•Tracking of hiring numbers for different projects across India.
•Maintaining Weekly MIS of attrition rate.
EXIT PROCESS :
•Implementation of the exit interview system and provide appropriate feed back to the management.
•Coordinating with Payroll department for release of full and final settlement.
•Analyzing Exit Interview Form and highlight key concerns.
