• In-charge of the preparation/making/editing of the following:
o Memorandums/Correspondences
o Annual Report and Monthly and, Annual Achievement Report of the division
o On-call schedule of the division
o Calendar of Activities of the Division Head
o Leave application forms and Notices of Return from Leave of all NICU Physicians
o Conference Room Booking
o Evaluation Forms of Physicians including Rotating Fellows and Residents
o Other needed reports (i.e. Medical Reports, Monthly & Quarterly Report on the Number of Calls of Each Physician, Attendance, Holiday Vacation Plan, Researches / Lecture Presentations and others as needed)
• Doing/Writing Minutes of the Meeting for the NICU Weekly Multidisciplinary Meeting, Breastfeeding Promotion Committee’s monthly multidisciplinary meeting and for other meetings, as needed
• Acting as a Support Staff (preparing/making/editing Programmes, invitations, PowerPoint presentations and manuals) for the Breastfeeding Promotion Committee’s Breastfeeding Courses and other activities, for the Neonatal and Pediatrics Mechanical Ventilation Course and Neonatal Resuscitation Program (NRP) Course.
• Reminding the Physicians regarding meetings or other work engagements
• Coordinating with other departments for any concerns
• Arranging meetings (within and outside the Division)
• Doing other clerical works such as filing, sorting and distributing mails, answering and tracking phone calls and visits/meetings with the Division Head and, scanning
• Paper screening applicants / Sourcing applicants through different portals like JobStreet and Job Openings
• Posting of job openings in several advertising sites in the internet
• Inviting pre-screened applicants for an initial interview
• Conducting initial interview and assessing each applicants
• Endorsing qualified applicants and briefing them about our client and the position they are applying for
• Preparing endorsement slips and/or making endorsement letters for forwarding to our clients
• Doing background checks on applicants, over the phone
• Writing narrative reports based on the findings gathered during the background checking/employment verification
• Doing background checks on nurse applicants and in-house applicants
• Writing narrative reports based on the findings gathered during the background checking
• Sourcing nurses from the Philippines, United Kingdom and United States over the phone
• Maintaining and updating the pool of nurses
• Pre-qualifying nurses and setting them up for interview with our qualifying team and client hospitals in the U.S.
• Coordinating with the Sales Team and Integration and Assimilation Team in the US
• Helping in monitoring the completion and ensuring the quality of each nurses’ Registered Nurse Profile
• Marketing and writing articles for dissemination to our nurses
• Corresponding with officials of some Nursing organizations for a possible partnership
• Preparing daily lesson plan for each Korean student
• Assessing each student in terms of his/her first-hand knowledge of the English language and everyday development
• Giving lessons suited for each student
• Writing daily evaluation reports on each student
• Coordinating with the clients, Administrative Department and co-staffs
• Scheduling of community checking and preparing background investigation paraphernalia
• Giving assignments to and briefing the fieldworkers, phone verifiers and part-time writers
• Assessing and validating the works of the fieldworkers, phone verifiers and other writers
• Budgeting and making liquidation reports
