HR Officer/ Admin Assistant

• Posting Job-Hiring in websites of the available position for immediate appointment along with their description and requirement in every position posted, as per requirement sent by every site.
• Arranging CV’s collected from email by designation as per instruction in the post description with the specific job code.
• Making list on every position by name, designation, contact no., email id, experience - to be sorted by UAE Exp./Total Exp., previous employer as well as the qualifications.
• Presenting the Lists along with the CV’s to the Admin Manager for his further instruction on whom to send or to which site for their review, interview and selection.
• Making covering letter to be attached to every batch of CV’s to be sent to whom it concerns.
• Others, for Admin’s shortlisting and to be called for the schedule interview allotted for each applicants.
• Assisting applicants during the interview and letting them to do the exam to check for their capability/proficiency in computer software applications within allotted time (MS WORD & EXCEL).
• Giving report to the Admin Manager after the exam for his final decision for appointment/rejection/on hold.
• Answering to the incoming calls for the candidate’s visa processing updates and other concerns for their employment, conveying calls to the concerned colleague for their further action.
• Responding and supporting to the inquiries of the employees such as request of the salary certificate (Arabic/English), request of pertinent documents, e.g., passport and visa (copy/original), contract copies, inquiries for Emirates ID, etc.
• Filing documentation, for all the correspondence outgoing and incoming with the stamped date.
• Printing forwarded emails from the Admin Manager regarding CV's of applicants by recommendations and discussing it with him for further action.
• Making Business Card for proposal and approval of the managers.

Insurance-in-Charge

• Making list of all the new members to be applied for insurance, either New Employees or Family Members for their corresponding categories as per application format.
• Documents to be provided: Photo, Passport, Visa, Emirates ID/Application Form and/or Certificate of Continuity from their previous insurance.
 For the new employees - Preparing the required documents to be attached along the list.
 For the family members - Requiring the Principal to complete all the documents for medical insurance application, especially for new born babies
 Strict compliance is required otherwise, incomplete documentation will be put on hold.
• Making correspondence for every applications as a covering letter, attaching to the lists and documents, for category upgrades, reminders, urgent issues regarding policies and emergencies - request for approval from HAAD for medical treatment/surgery/ medication and requests for specific hospitals to be added to the networks.
• Following up to the Insurance Manager regarding the addition/deletion, category upgrades, pending cards and some other issues.
• Providing information to the staff regarding their medical insurance and sending them the Policy and the Networks of Hospitals covered by every category.
• Updating the members whenever we received the medical insurance cards for them to pick up the cards or arrange site driver.
• Updating news from HAAD and the Insurance Company, sending circular to sites for their information.
• Deletion of Members whose visas are already cancelled by the company, attached original card.
