• Assisting the Production Manager in all office work and administrative.
• Handling/monitoring Production Manager Email account.
• Coordinating, preparing & allocating daily schedule of Asphalt, Concrete Ready Mix & Aggregate to all site project Managers, Engineers and Supervisors.
• Receiving, completion and filing of all documents (Memo’s, correspondence, transmittal).
• Preparing Yearly & Monthly Projections for Aggregate, Asphalt & Concrete Mix.
• Preparing daily, weekly & monthly production report.
• Preparing Monthly Charges details for Concrete Mix, & Concrete Pumps Consumption.
• Preparing Purchase Requisition for all office supplies/items.
• Provides other related duties as may be required.
• Responsible in managing overall office administration works.
• General HR procedure, admin & personnel, transport, man-power, purchase, materials, stores, camp accommodation.
• SAP, maintaining system operations to ensure work is streamlined and data accuracy maintained.
• Coordinate with Project Managers, Headquarters’ Office, Site Engineers, Site Foreman, Main Contractor, Sub-Contractor, Clients, Suppliers, and Vendors in all Site Project related matter.
• Receiving, distributing and updating in the system of all incoming documents (memo’s, correspondence, transmittal, and drawings).
• File documents in physical and digital records, ensure appropriate storage, proper document classification, sorting, filing and archiving.
• Perform document quality check in accordance to Company engineering document control procedures and file backup to ensure proper storage and archiving of electronic registers.
• Monitor Project Submission Schedule and constantly reminds Engineering Staff of deadlines.
• Accountable for office administrative tasks.
• Document completion and filing.
• Responsible for daily directing and coordinating of activities to Supervisors.
• Setting schedule and priorities, monitoring progress, collating job reports and raising PO for required parts for job completion.
• Coordinate with Engineers, Supervisors, Purchase Manager, Logistic Manager, and Site Store Keeper’s to ensure all work requests are closed with accurate closing information.
