• Update and Record the commented submittal received from the consultant.
• Ensure that controlled copies of latest approved documents and drawings are given to the concerned staff, engineers, subcontractors and suppliers in a timely manner.
• Retrieve files as requested by Engineers and Consultant.
• Collect and/or track other data as required by the project team.
• Copy, scan and store documents.
• Distribute project-related copies to internal teams.
• Monitor incoming queries (RFI’s) and information to ensure all actions are completed.
• Sorts and files all documents and drawings according to proper category/folder.

Logs all incoming and outgoing documents of the department. Receive / Download Client documents and drawings from client database. Check the documents and drawings against the transmittal and Master Documents Register System to ensure the correct revision. Answer telephone call take messages or transfer call to appropriate individuals. Maintain the record of the drawings/specification issued by the client for the project from rev. 0 till last revision. Print the documents and drawings and reproduce copies for distribution to all concerned department. Sorts and files all documents and drawings according to proper category/folder. Assists in doing follow-through tasks of the department by e-mail and phone. Assists in safe-keeping of department’s office equipment, supplies, etc. Encode documents and drawings update regularly in DCC Transmittal Monitoring System and Master Document Register System. Upload/download customer documents (JGC-JPlus, FTP Sites, LIVELINK and PROJECTWISE, SDBx & PDB-Client Database). Receive a document transmittal and compare the contents of the package against the transmittal to ensure that all listed documents are included.
