With the EA to the HRD provides administrative support to the HR Director and the HR Department team.
Maintains office supplies inventory by checking stock to determine inventory levels; anticipating needed supplies; placing and expediting orders from materials / suppliers; verifying receipt of supplies.
Assists in Mobilization of Candidates in Visa processing, ticketing/transport and housing arrangements.
Responsible for maintenance of Personnel Files ensuring file and licenses required is up to date.
Maintains confidentiality at all times
Responsible for Staff Medical Insurance addition and cancellation requests and updates member list.
Welcomes guests and employees by greeting them in person or on the telephone; answering and directing enquiries.
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks.
Performs other related duties incidental to the work described, directly or through delegation
Responsibilities:
Develops recruiting plans along with demanding heads of departments
Assists the requiring departments in creating adequate job descriptions and advertising copies
Locates and documents where to find ideal candidates
Create contacts within recruitment sources
Develops a pool of qualified candidates in advance of need
Research and recommends new sources for active and passive candidate recruiting
Build networks to find qualified passive candidates
Maintains regular contact with possible future candidates
Utilizes the Internet for recruitment
Maintains and improves the company website recruiting page to assist in recruiting
Uses social and professional networking sites to identify and source candidates
Manages the use of external recruiters and head hunters
Reviews applicants to evaluate if they meet the position requirements
Conducts pre-screening interviews
Maintains all pertinent applicant and interview data in the Human Resources Information System (HRIS) being part of the Hospital Information System
Assists in performing reference and background checks for potential employees
Assists in fulfilling all necessary requirements of regulatory bodies of Abu Dhabi particularly when employing staff from other countries
Assists in writing and forwarding rejection letters
Assists in interviewing and selecting employees onsite
Assists in preparing and sending offer packages
Assists in preparing and executing employees’ orientation meetings
Aids Marketing and Public Relations Department in establishing a recognizable “employer of choice” reputation for the company, both internally and externally
Assumes the role of a brand ambassador for NH and promoting a customer focused philosophy in dealing with any stakeholders
Attends career fairs for recruiting and company recognition
Responsible for the job advertisements, interview scheduling and document collection to the shortlisting of candidates
Provides overall administrative support to the Recruitment Team and maintains the new employee file system.
Helps maintain the Nation Hospital candidate tracking system and provides notification letters to candidates throughout the recruitment cycle
Collects candidate documentation at the appropriate time for qualified candidates, including documentation for licensure applications (as appropriate)
Assists with sourcing active and passive candidates through job boards, LinkedIn, Monster etc.
Assists with the planning of meetings, and recruitment events (including job fairs, walk in interview days, traditional and social media advertising etc.)
Coordinates new employee starting dates and processing of paperwork associated with the hiring of newly hired and transferred employees.
Update the recruitment section of the Human Resources Information System (HRIS) and transfers the new employee information to the employee relations section of the HRIS.
Ensures that the hard copy Employee Personnel File is complete before handing over to the Employee Relations Team and is compliant with JCI and HAAD requirements.
Notifies the concerned Department / Section Head about the pending arrival of new employees and ensures the Department / Section Head provides the name and contact details of the departmentally assigned “buddy” for the new employee.
Liaises with the Housing Coordinator regarding the assignment of housing (temporary / permanent) for the new employee.
Maintains the Employee License hard copy file, ensuring that all licenses filed are up to date.
Active participation in the departmental quality initiatives
Assist in the preparation and maintenance of the department’s JCI commitments, ensuring that the department is ready for inspection by the JCI / HAAD inspectors at any time
Performs other related duties incidental to the work described, directly or through delegation.
Over all in-charge in the selection and placement process for rank and file vacant positions and responsible in the development and implementation of enhancement seminar and trainings for employees.
To lead the team on each shift and ensure the company service standards are upheld.
Achieves maximum sales profitability, growth and account penetration within an assigned territory and/or market segment by effectively selling the company’s products and/or related services. Personally contacts and secures new business accounts/customers
Maintain the records of patients
Make inventory of frames and other clinical/optometric supplies
Arrange appointments for eye check-ups
