Recruitment/Resourcing:
Design, develop and maintain the recruitment and staffing process.
Coordinating with line managers for identifying manpower requirement, preparing job descriptions and posting vacancies in job portals.
Determine applicant qualification by Screening the CVs, interviewing applicants, analyzing responses, verifying references, negotiating compensation, comparing qualification with job requirement, & scheduling direct interviews/ Skype interviews for hiring managers for final selection.
Preparing Offer letters for selected candidates & follow-up to get required documents for new visa application.
Pre-joining process/New Visa application:
Processing new MOL job offers & employment visa application.
Processing Emigration Clearance formalities for Indian candidates (if ECR in passport).
Arranging air tickets to the candidates from their home country to Dubai.
Onboarding:
Onboarding new employees, Joining forms, Welcome Letters & Welcome kit.
Input data in Oracle HRMS & HCM Fusion system and employees master control sheets and generating employee id numbers and preparing employee id cards.
Notifying new joiners arrival Information to the concern departments, uniforms & advance salary.
Conduct employee Induction & orientation training and arranging safety induction sessions.
Preparing documents for New Medical & Emirates ID application typing & scheduling the appointment.
Processing documents for New Labour Contract/ card application and submitting the signed contracts to the MOL.
Applying residence permit.
Applying for Health Insurance cards & Occupational health cards & Salary ATM cards.
Follow-ups, Receiving and distributing the cards to the employees and updating the records.
Leave Management:
Handling employees leave application through employee portal.
Preparing & Processing leave settlements in Oracle.
Dealing with payroll team & Audit team for any clarifications.
Solving employee queries related to leave eligibility & leave settlements.
Updating ‘Rejoining date’ in oracle.
Following up to the employees who exceeds approved leave end date.
Declaring ‘Out country absconder’ for those who doesn’t return from leave and cross 180 days from the date of exit.
Employee Separations:
Preparing termination letters.
Receiving resignation letters/non-renewal confirmation forms.
Meeting with the employees to understand the reason behind resignation/non-renewal.
Responsible for employee retention.
Taking ‘Exit Interviews’ & obtaining employee feedback.
Obtaining final clearance from Accounts/IT/Stores/Transport dept with final approval from GM.
Liaise with PRO for LC & Visa cancellation.
Preparing & Processing ‘End of Service Benefits’ (Full & Final Settlements).
Booking air tickets for final exit (For terminated/non-renewal employees).
Obtaining Exit confirmation from the airport immigration & updating the records.
Performance Appraisals:
Attending performance appraisal meeting.
Obtaining KPIs & Appraisal rating from line managers.
Preparing performance appraisal report.
Assisting HR Manager in reviewing the salaries.
Renewals:
Labour card/contract renewals.
Visa renewals.
Insurance card renewals.
Occupational Health card renewals.
Passport renewals.
HR Metrics & MIS reports:
Preparing & maintaining reports by collecting, analyzing, and summarizing data - Turnover report, Recruitment report, Active Manpower report, Overtime analysis, Absenteeism analysis, Employees on leave analysis, Leave balance report, Employee separation report & analysis, Accommodation report & overall HR data consolidation.
