Position: Sr. HR Officer/Payroll

Responsibilities:

Payroll:
• Receiving Attendance & Over time logs from all departments.
• Track & Monitor Employee Attendance and Overtime records from finger print logs.
• Ensure timely and accurate processing of the monthly payroll, overtime & incentives etc., ensuring that all employees are paid within the scope of the contractual agreements.
• Ensure that payroll is processed and completed as per the cut-off date each month, unless required to be completed earlier.
• Review payroll accounting practices/ procedures to improve service & accuracy & recommend changes if necessary.
• Maintain current knowledge of rules, regulations, legislation, technology, & procedures governing payroll.
• Ensuring closing of all payroll transaction end of every month.


HR System:
• Implemented HR & Payroll system using MenaItech.
• Verifying and inputting transactions on the payroll system.
• Reject/Approve & Action all transactions that are on the HR system as received from employees.
• Approve & review Leave, Permission & Duty Resumption Request on HR system
• Verifying and Calculating: -
- leave salaries in order to add to the monthly salaries.
- Monthly Salaries
- New joiners’ salaries
- Overtime
- Incentives & Commission (drivers)
- Deductions
- Other incomes
• Posting of bonus to employee of the month
• Reconciling payroll discrepancies and investigating questionable data and take corrective actions when necessary in coordination with the Department Heads.
• Implementing New Procedures on the HR System by Analyzing & Testing each Module available on the HR System.
• Maintain & Update the HR System Modules in liason with the concerned.
• Maintaining Turnover Records.
• Record employee information, such as exemptions, transfers, terminations and resignations, to maintain and update payroll records.
• Upon receiving employee’s signed and complete leave request process employee leave entitlements and register employee’s leaves on HR System.
• Compute Employee Indemnities and Final Settlements as per Kuwait Labour Law.
• Ensure necessary deductions are carried out efficiently in the final / leave settlements, in liaison with the finance department.
• Releasing pay slip on the HR employee self-service system in order to have all employees access to view their salary information.

Other HR Functions:
• Liaise with the travel agencies to get quotes on Employee Air Tickets and book air tickets with the agency on receipt of approvals.
• Initiate all employees’ exit and clearance formalities and ensure that all documents are completed and approved by the management before processing to Finance.
• Update the addition and deletion of staff names based on hiring and exit of staff for the workman compensation and update Insurance Company quarterly.
• Process all accident claims as required.
• Update staff private medical insurance entitlements and coordinate with the Insurance Company accordingly.
• Maintain departmental policies & procedures and assist all employees with procedures in their work place.
• Maintain confidentiality of sensitive matters.
• Scanning of all employee documents for record purpose.
• Process all HR documents for signatories and approvals as per the procedure and ensure that all HR formalities are completed and documented.
• Come up with necessary and innovative ideas /suggestions to further improve the HR functionality.
• Responsible for Organizing Employee Events for all staff as per the Company Policy.
• Provide data / information for and preparing management information reports and documents.
• Maintain liaison between all departments for smooth functioning of operations.
• To process all employee letters like for Increment and Internal Promotion Letters, employment certificates etc.
• Responsible for the smooth functioning of HR Operations in absence of the Senior HR Generalist.
