Lead and facilitate procurement processes for goods and services.
• Support projects implementation by providing logistics, travel and administrative support and
procedural guidance.
• Issuance of Purchase Initiations and competitive tenders including CBAs, RFQs, RFPs and
SSJs in line with internal procurement policies and procedures, and donor regulations.
• Draft contractual documents, including POs, SPAs, LTAs and CDOs.
• Lead bid evaluation committees and guide other panel members.
• Ensure that procurement is carried out in a transparent manner and in compliance with internal
policies by staying informed of donor policies and procedures.
• Submission of supplier payment requests and tracking of payments.
• Support with subrecipient contracting, management and compliance, including but not limited
to:
o Assist project teams with advertisement of subgrant funding, as applicable.
o Lead on subrecipient capacity assessment process.
o Draft subrecipient agreements and agreements amendments and provide guidance to
project staff on compliance requirements.
o Conduct compliance training for subrecipients.
o Lead on reconciliation of subrecipient financial reporting, checking supporting
documents to ensure compliance, and provide detailed feedback and guidance to sub-
grantees focal points to make corrections and/or provide additional written
information as needed to close financial reports.
o Submit payment requests in a timely manner.
o Support with subrecipient capacity building.
• Ensure accurate filing of procurement documentation.
• Participate in single audits and provide support to project teams during audits, as needed.
• Responsible for project inventory in accordance with asset management policies and
procedures.
Other Responsibilities:
• Organize the provision of project vehicles and prepare all necessary paperwork and records
in line with the internal vehicle and driving policy.
• Oversee project travel bookings and event organisation.
• Corporate Services induction training to new staff as required.
• Assist with office management as surge capacity or absence cover.
• Receive and verify accuracy of shipments from suppliers for project deliveries.
• Assist with other Corporate Services duties, if required by the project, including but not
limited to support with consultancy contracts and recruitment approvals and HR payment
requests, as required.
• Other duties as assigned.
