Supporting the Project Manager in ensuring the smooth functioning of the operations team of the projects
Effectively and efficiently managing emails and other correspondences, and diverting correspondence to other staff where appropriate
Filing and recording all incoming/outgoing files of the project team, categorizing various drawings and other important project documentation.
Producing reports in a timely manner, which involved gathering information from various sources and creating an excel spreadsheet.
Copying, scanning, and filing documents in physical and digital records
Reviewing, checking for accuracy of documents, and updating technical documents (e.g., drawings, method statements and QA/QC documents)
Distributing project-related copies to internal teams and managing the flow of documentation within the organization
Creating templates for future use and preparing ad-hoc reports on projects as needed

Scheduling applicants for interview

Maintaining registers for correspondences, purchase orders, interim payments, variations, invoices, staff list and details
Supervising the team in the absence of the DC Manager.
Preparing submittals and correspondences
Receiving and distributing documents (hardcopy/softcopy/Unifier)
Downloading and saving softcopies to company server
Updating comprehensive document registers
Generating reports
Orderly filing of hardcopies for proper handover and audit check
Ensuring forms and templates are updated
Monitoring stationeries and placing orders when necessary
Training, supervising, and closely monitoring newly hired staff.
Coordinating activities related to Document Control procedures
