Working as a SPECIAL SECRETARY with Saudi Yanbu Petrochemicals Co. Ltd. ( An affiliate of SABIC) Yanbu, K.S.A in their Maintenance Planning and Reliability Section under the Global Contract of Al Suwaidi.
RESPONSIBILITIES :
Responsible for Coordinating between Operation Department, Warehouse, Equipment, Machine Shop and Planning & Reliability Section for the day to day maintenance activities. Assisting 2 Superintendents ( Maint.& Planning ), 3 Supervisors and 20 Reliability Engineers in their daily routine activities.
Issuing Construction packages for Plant Maintenance, preparing daily, weekly, and Monthly meeting reports for the Reliability Superintendent, Preparing documents for Reliability Engineers to conduct programs / seminars for Maintenance field staff, Preparing Appraisal of Reliability Engineers, Preparing Competency assessment of Reliability Group, Other Daily routine documentation etc.
Actively participating in Turnarounds by Preparing Pre and Post Turnaround documents, Arranging Air Tickets, Hotel accommodation for the Superintendent and delegates who are going for Training / Official visit to abroad.
Responding call from the Clients / Contractors, Arranging meeting with them, Arranging Gate Passes for the delegates / clients, Maintaining up to date files of Clients etc.
Daily Routine activities like maintaining Attendances of Engineers, Keeping different updated files on correspondence creating work orders for Reliability section in SAP, Maintaining logbook ( Self developed program ) on incoming & outgoing correspondences, Screening of Invoices, etc.
Worked as Manpower Coordinator / D.E. Coordinator in HRD Section of Al-Suwaidi Establishment, Rastanura. Who has got various business interest like Plant Construction ( Petrochemical, Oil & Gas, Refineries ), Transport and Equipment, Trading etc. employing 6000+ employees of various categories.
RESPONSIBILITIES:
Coordinating with Area Offices, Project Site Offices, and branch offices for the Manpower requirements, Mobilizing manpower as per their requirements, Preparing Mobilization Documents, Preparation of Manpower Requirement documents for Project / Area / Branch Offices as per their requirements, Procurement of Manpower through local hiring, Preparation of documents for procuring Manpower by recruiting, coordinating with Recruitment Processor regarding Recruitment activities and arrival of new employees, Giving Orientation to the New arrivals, Preparing daily / Weekly & Monthly reports for the Management Meetings, Co-ordination with Admin Department for the grievances of the Employees.
Worked as a Jr. Executive with Shaw Wallace Electronics Ltd., Gandhinagar, Gujarat, an electronics manufacturing division of Jumbo Group .
RESPONSIBILITIES:
Attending meetings with Sr. Vice President, preparing Minutes of meetings, Co-ordinating with other Managers and Admin Department in day to day routine work, Arranging Air / Rail tickets for Sr. Officials / Guests, Arranging Hotel accommodation for VIP’s, Co-ordinating with branch offices, and with Sales executives on their day to day working and making reports for the meetings
Worked as an Export assistant with SABAR GROUP, manufacturing and Exporting different types of Pumps at their Head Office at Vatva, Ahmedabad.
RESPONSIBILITIES:
Preparation of Pre-Shipment and Post Shipment documents, Drawback documents, liaisoning with Governments like Export Inspection Agency, ECGC, EEPC, Banks etc., Checking of L.C’s and getting amendments if necessary, Preparing work orders as per specification from the overseas clients, follow up with production for prompt supply, Liaisoning with Transports etc.
Worked as a Typist Clerk for Six months and Secretary to G.M. there after with Cauvery Electronics Ltd., an Electronics manufacturing division of BUSH INDIA GROUP, at their factory office in Gandhinagar, Gujarat.
RESPONSIBILITIES:
Preparation of Purchase Orders, follow up with suppliers for prompt supply, All documentation work related to Purchase Department.
After 6 months promoted as Personal Secretary to General Manager. Responsibility includes Co-coordinating with other Managers and Admin Department in day to day routine work, Arranging Air / Rail tickets for Sr. Officials / Guests, Arranging Hotel accommodation for VIP’s, Co-coordinating with branch offices, and with Sales executives on their day to day working and making reports for the meetings.
Worked as a Typist Clerk with Suvik electronics Ltd., a SARABHAI GROUP company manufacturing UPS, Higher K.V.A Stabilizers, and Computers at their Gandhinagar Office.
RESPONSIBILITIES:
Preparation of Invoices, Delivery Challans, Bank Guarantees, Preparation of Pending Orders reports, Payment Statements, Work Orders, Follow up with production for prompt supply, follow up with clients for payments, Co-ordinating with branch offices for payment dues, checking of payment voucher of branch offices, Liaisoning with Transporters etc.
