• Responsible in controlling and management of shop drawings, submittals, correspondence and other documents by maintaining an up-to-date data register showing the details and status as per ISO standards and/or company requirements.
• Preparation and logging of shop drawings submittal, material/technical submittal, Request for Information (RFIs) and Field Change Request (FCRs) for submission to the Consultant through Aconex.
• Maintains systematic filing of all correspondence and submittals in hard and soft copies.
• Preparation of Weekly Report, QA/QC Report and Monthly Project Quality Report.

• Reporting directly to the Manager, Administration/HR for administrative works such as drafting and encoding of memos and correspondence and responsible for systematic filing of such documents.
• Liable for safekeeping of all ASUG Employees’ personal files, passports and Iqama and in preparing necessary documents for passport and Iqama renewal and exit/re-entry visa as well as updating vacation schedules and expiration of related documents.
• Administering telephone calls, fax letters, email messages and business appointments for the Administration/HR Manager.
• In charge of preparing materials, room assignment, medical referrals and providing temporary papers for new employees as well as arranging necessary documents and ticket reservation for vacationing employees. Also, responsible for hotel and airline reservation for the President & CEO’s business trips abroad.
• Responsible for drafting and encoding memos, requisition orders and purchase orders for the Office of the President
• Handling and recording of incoming documents, cheques, Special Orders, Travel Orders and Leave Application from the different department for the President’s signature
• Assist the Secretary of the President during Board Meetings as well as acts as messenger and liaison officer to the different department of the institution
