Manage day-to-day administrative duties for the operations team in
order to ensure smooth and efficient operations.
Ensure all formalities are in place prior to the vessel's port call.
Manage the daily workforce by scheduling employee shifts and
planning, assigning, and dispatching crews.
Allocate work to the most suitable engineers/technicians for
Service, projects, and breakdown visits, including third-party
technicians.
Ensure that all jobs are registered in the ERP system (Oracle).
Ensure the purchase of all related spare parts clearance is
coordinated with the purchasing department.
Coordinate project mobilization locally and internationally (e.g.,
visas, hotels, transportation, port access, etc. with the assistance of
client representatives).
Maintain the files for all contracts in an up-to-date condition and
ensure that all information/documentation (Work report, timesheet
etc.) provided by the engineers is recorded at the earliest possible
date.
Perform reviews on executed jobs, prepare related documents for
project engineers/supervisors, and collect completed documents so
that invoices can be generated.
