Responsible for establishing and maintaining an effective document control systems. Ensuring that all design documentation is accurate, up to date and accurately distributed to relevant parties.
● Overall in charge for the submission of documents to the Consultant, Client and documentation control.
Example: Transmittals, Inspection Request, Material Inspection Request, Material Submittal, Document Submittal, Work Notification, Site Clarification, Method Statement, Correspondences, Minutes of Meeting, Shop Drawing submittal ( Civil, MEP, and Architectural), As Built Drawings.
● Affix receiving stamps on all correspondence, transmittal sheets, recording the date and time of receipt as well as signature. A copy of the received correspondence & transmittal sheets should be returned to the originator (Client, Sub Contractor & or supplier).
● To control all non- administrative documents such as Issued for Construction (IFC) drawings, specifications, instructions and procedures received from clients, subcontractors, suppliers as well as documents originated by the company.
● Typing of letters, reports, faxing, sorting and distributing post and taking minutes if required.
● Updating All Logs and Organization Charts related to site and Head Office.
● Classification, sorting, filing, copying, archiving and retrieval of Drawings.
● Receiving & Distributing incoming and outgoing documents, mails and letters.
● Incoming and outgoing document maintaining for appropriate records and registers for follow-up and control.
● Coordinate with head office for all employee Admin & HR matters.
● Maintaining day to day HR related activities.
● Recommend stock requirements of various stationary required for the project offices by using ERP System.
● Preparing a monthly report for expenses and Manpower on the site.
