Reporting to General Manager, providing personal & secretarial support while maintaining discretion and strict confidentiality in particular to sensitive situations. Manages and updates Managers daily diary, and coordinate arrange meetings. Serves as a point of contact for coordination of her requirements with people inside and outside the organization. Review Manager’s corporate e-mails, incoming letters initiate replies when appropriate. Produce documents, briefing papers, various reports and prepares contracts. Provide administrative/secretarial support such as answering telephone, assisting visitors, arranging meetings and resolving a range of administrative problems and inquiries. Prepares/drafts correspondence. Ensures and maintains efficient log of files of various Development/Construction documents/samples, contract, various submittals, reports, presentation for storing and retrieving from time to time and initiate follow up on pending matters; Encouraged communication within administration and support team with suggested processes resulting in improved organization smooth day to day running. Responsible for the rental of available properties. Responsible for monitoring facilities that requires maintenance. Facilitate tenant’s needs and make sure complaints are immediately attended by the particular maintenance department. Provide hospitable approach to walk-in and phone inquiry potential clients. Prepare documentation such as attestation of tenancy contract, application of SEWA connection and other related documents. Ensuring continuous quality service to all tenants and clients to maintain and keep good relationship with them. Report to Manager the daily activities and feedback. Preparing documents to put out tenders for contractors. Project management and supervising and coordinating work of contractors. Managing and leading change to ensure minimum disruption to core activities. Liaising with tenants of commercial properties. Directing and planning essential central services such as security, maintenance, mail, archiving, cleaning, catering, and waste disposal and recycling. Checking that agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies.
