 • Working in EDMS (Enterprise Document Management System) based on Microsoft SharePoint Server.
• Perform document control duties, which includes; Registering all the incoming and outgoing Correspondance, transmitting drawings and documents and other related documents from consultants/contractors and other departments to the concerned staff.
• Maintain an up-to-date SharePoint for the department to maintain a track of information required to support activities.
• Receiving all documents and drawings such as Master Plan, Preliminary Design and Detailed Design and distribute to the concerned section/staff for study/review and keep the documents as per Project Code.
• File / store electronically of the incoming and outgoing mail as per the file Management procedure set up in AMD.
• Generating the document progress reports from SharePoint, Tracking the pending documents through weekly progress report and notifying the concerned staff for tacking the appropriate action on the pending documents.
• Provide copies of the latest ADDC Specifications and standard drawings to the Consultants/contractors/ Vendors as per instruction from Head of Section.
• Receiving the material submittals and handing over of completed material submittals to Customers and maintaining records of all completed submissions. All submittal softcopies are Keep in the server and distribute to the concerned whenever required for reference.
• Responsible for managing the department emails, queries and distributing to the concerned personnel for their information.
• Maintain an up-to-date department organization chart
• Coordinate with department staff and maintain up-to-date annual leave/ training plan to ensure there is no overlapping on staff schedule.
• Assisting in the Director’s office mail flow process, keeping track of all Directorate mail, filing electronically and hard copies when required.
• Performing any other similar or related duties as and when assigned by the Manager/Director.
