• Prepare shipping notes and other documents related for shipment.
• Answer/route all telephone calls in a polite manner, taking messages and routing to proper individual in a timely manner.
• Assists & evaluates needs with shipping points, services, weights & freight permits, and other information needed.
• Initiates, answers & documents tracer inquiries when requested via email and/or fax.
• Maintains shipping stations are in working order and stock with materials.
• Notifies consignee of shipment arrival and coordinates shipment information to other offices and/or agents.
• Arranges for movement of freight to consignee/agent & updates the system with information.
• Processes necessary invoices to appropriate office for payment.
• Monitor the supply of packaging materials and requisition additional supplies as required
• Handle staff Medical Insurance policy, coordinating with insurance provider on medical claims, addition for new staff to the policy and renewal of policy.
• Maintain leave balance information for all employees, update and check leave details - annual, emergency, special & sick leaves and provide requisite information to Payroll Officer for coordination with finance department, sourcing air tickets also process duty travels per diem & forward to Treasury department for payment
• Manage tenancy contracts of accommodation provided to Senior Executives and their renewals.
• Answered all telephone calls for the Branch Manager & typed all the letters from the departments of the bank.
• Preparation of bank letters for new joiners to set their bank accounts. Preparation of salary certificates / loan letters as required.
• Arrange travel and accommodation and, occasionally, travel with the manager to take notes or dictation at meetings, or to provide general assistance during presentations.
