Duties and Responsibilities

•Monitoring the performance of service providers in the areas of Cleaning & Waste Management, Pest Control, Recycling, Hygiene, Landscaping and Event Logistics
•Preparing event cleaning & waste management plan, Logistic plan
•Preparing Pre, During and Post event cleaning and Logistic schedules and plans
•Ensure service providers are performing services in a professional way and maintaining in good hygienic condition and visually aesthetic each areas mentioned in the scope of service of the contracts
•Supervising the service providers delivered service level performance and in the range of given KPI
•Ensure maximum customer satisfaction is achieved and that the service delivery is as per the agreed service levels agreement. Escalate any non-performance issues to the operations manager.
•Ensure that all areas of the site well maintained and prepared in advance before the event
•Preparing duty schedule of supervisors
•Evaluating the performance of service providers
•Conducting monthly meeting of supervisors and service providers
•Preparing weekly, monthly and quarterly schedule for all soft service providers
•Monitor, report and evaluate service provider’s performance ensuring services provided are within the agreed SLA’
•Set service providers KPI’s and ensure these are being achieved
•Conduct quality service training for all colleagues (Supervisors)
•Conducting performance evaluations to supervisors
•Preparing PRs related to General Services.
•Ordering of hygiene, cleaning, landscaping consumables and receiving of it.
•Preparing monthly consumption report of all consumables and maintaining its inventory.
•Preparing reports related to Waste Management and Recycling
•Plans and forecasts facility utilization requirements, revenue estimates, staffing requirements, and equipment replacement needs
•Coordinating with events team for the smooth operations of the events
•Attending inter departmental meeting.
•Checking monthly invoices of services of all soft service providers and forwarding to FM coordinator for finance submission.
•Coordinating with FM Help desk and following up the issues and requests
•Plans and forecasts facility utilization requirements, revenue estimates, staffing requirements, and equipment replacement needs
•Preparing SOW of each services
•Analysis of waste disposal, audits, permits for hazardous waste disposal
• Management if churn requests - people, furniture, IT and office equipment

•Prepare scope of work for all outsourced jobs with quotes, analyses jobs. Verifying the satisfactory level of work from the suppliers, approving their invoices.
•Follow all relevant departmental policies, processes, standard operating procedures and instructions so that work is carried out in a controlled and consistent manner
• Inform all relevant departments of any misconduct or illegal activities performed by the tenants, issue and verify on site the situation of violation action.
•Preparation of timely and accurate reports to meet company and department requirements, policies and standards.
• Monitor service providers performance as per the agreed KPI’s and Gather information and data reports on monthly basis, for scoring the service provider

• Evaluate the service provider’s monthly performance as per the score card scheme.
•Processing and verifying service providers invoices as per the site condition
•Inspect assigned buildings as per the agreed schedule from planning, during the service provider attendance.
•Attend monthly progress meeting with the respective Service Provider to tackle up issue and resolve them.
•Preparing a tracking list of waste collection from all DSOA properties and ensuring proper collection as per the schedule.
•Ensure attending and closing complaints by service provider
•Develop a relationship with clients, customers and staffs
•Follow up and provide safety environment concept for all premises
•Input health and safety procedure and regulations
•Following up tenants complaints and closing the Facility request.
•Oversee administration of entire Housekeeping Department
•Preparing annual budgets of all soft services and forecasts making suggestions as to improving efficiencies and reducing costs without determent to standards.
•Coordinating with FM Help desk and following up the issues and requests
•Coordinates physical and event operations of the facilities;
