• Follow up with maintenance department the tenant's complaints and requests.
• Forward and discuss with our maintenance team complaints received from our tenants.
• Assist property team on their request regarding their managed buildings.
• To escalate the tenants, request to the management for decision and approvals.
• Study and analyses the maintenance request and reports before to send it to the landlord for approvals.
• Send the maintenance requests to the landlords for their approvals with our suggestions and recommendations.
• To assist and negotiate with the tenants the rental rate for renewal.
• To assist and explain to the new tenants the procedures of check-in from the agreement signature to the meter transfer.
• Send to the landlord or landlord representative on monthly basis the statement of account and bank remittance.
• Coordinate with the procurement department regarding the provided quotations for different requests.
• Send to the landlords the renewal suppliers contracts for approval.
• Send the landlord approval (LL) to the concerned department to proceed based on the approval code.
• Answer to the tenant's inquiries and complaints on dispatching the needed staff for immediate action.
• Repost and follow any emergency incident to the management and the concerned department for the needed action.
• Review the application to lease and the documents required from the sales team before the management approval.
• Submit to the landlord the tenants request and offers regarding the new lease rate after decision and recommendation from our management.
• Represent Mirage company in the administrations and municipality to resolve the company issues.
• Communicate and coordinate with building supervisors regarding the building update and reports.
• Handle the tenants notices as per the requirement (Pest control, PPM, Events etc...)
• Receive the landlord's requirements and communicate it to our management and recommend the best potion for each cases.
• Coordinate with other departments (Sales, Procurement, Finance and Maintenance) to help to find adequate solutions to their requirements.
• Check the final stage of the inspection reports, Property reports (check-out) along with damages & charges costing before sending it to the tenants for confirmation.
• To provide full Administrative support to the PFM.
Ensure set sales/leasing targets are met and or exceeded.
* Take active role in negotiation of marketing agreements and commission levels with
landlords.
* Ensure property management database software is accurate and up to date at all
times with lead generation.
* Manage effective feedback mechanisms for all clients and lessees and regularly take
proactive steps to improve client/lessee/vendor/purchaser/agent relationships.
* Communicate and liaise effectively with the Leasing/Commercial Teams to maximize
business opportunities.
* Ensure effective after sales/leasing services to ensure customer satisfaction.
* Follow all leads to their final conclusion.
* Ensure the End of Week Activity report is accurate and reported within the agreed
timescale.
* Keep up date to date with property market activities locally and internationally.
* Seek out new opportunities and gaps in the market.
* Promote the business through various marketing channels and communications.
* Act as “ambassador” for Mirage Property within wider Qatar community.
* Ensure the Company brand duties as requested by Senior Management as may be
required from time to time.
