•Copywriting, proofreading and editing across all media channels.
•Creative content writing and creation for all digital platforms including SEO, blog and website.
•Content creation, curation, migration and management across all mediums.
•Effective management of all company social platforms.
•Responsible for front office management including overseeing the cleaning and general maintenance, answering and directing calls on a multi-line switchboard, sorting and distributing mail, greeting and serving visitors, clients and suppliers, document filing and creating a general clean and welcoming front office environment.
•Management of all office equipment including sourcing competitive quotes, purchasing, creating and maintaining a log and depreciation account, general maintenance, repair and replacement.
•Coordinating with the company PRO with regards to visa processing, renewal and cancellation for all employees.
•Head of the Administration team leading a team of 5, reporting to the Finance Director and Managing Director respectively.
•Helping and directing clients and general enquiries to the most relevant staff member, ensuring that clients are served timely and potential clients retained.
•Coordinating with Management and Department heads with regards to recruitment, performing the initial c.v and resume screening, setting up interviews and responsible for the new recruit orientation and office tour.
•Implementation of HR policies and procedures especially with regards to leave and holiday scheduling to avoid timing conflicts, maintaining and managing the holiday calendar, accounting for individual leave, sick and other days taken in a calendar year.
•Managing the effective implementation of weekly job trafficking by reconciling proposed traffic schedule to actual logged timesheets.
•General timesheet management and report generation in order to assist in the effective billing of clients based on actual hours worked per project.
•Creating and issuing LPOs, Estimates, Invoices and Receipts on Freshbooks.
•Creating Job numbers for new clients and jobs based on a pre-existing system.
•Performing cash disbursements and acquittals in the absence of the Finance Director.
•Managing Payroll, TRFs and other bank transactions in the absence of the Finance Director.
•Client serving and acting as the Managing Director’s point of contact when out of office.
•Managing diaries, travel arrangements, attending meetings as a proxy, minute taking and generating internal and external communications on behalf of management.
•Working on secondment for clients as and when required.
