▪ Manages the Chairperson’s daily calendar.
▪ Coordinate meetings and book conference rooms; take down minutes, make necessary follow-ups, and distribute it.
▪ Maintains the leave plan of the department and coordinate with physicians to ensure that there would be no overlaps.
▪ Assists the department with the daily administrative tasks.
▪ Handling high volume of phone calls from patients, labs, and physicians.
▪ Compiles physicians personal file, mandatory courses attended, as well as conferences certificates for CPD and licensing.
▪ Prepares correspondences (emails, letters, and memo) and circulate to the corresponding department.
▪ Assists with the preparation and distribution of the monthly duty roster.
▪ Basic physician office support duties as needed.
Performs a wide variety of record keeping and payroll processing activities, including computing wage and overtime payments, calculating and recording payroll deductions, processing requests for paycheck advances.
Accepts resignations; initiate terminations; process layoff actions and calculating the end of service benefits of employees as per the Qatar Labour Law.
Process employees leaves and overtime; Reviews time sheets and incorporate it in the monthly payroll;
Provides administrative support to HR Manager. Prepares letters, memoranda, and other correspondence related to assigned human resources programs and activities; prepares status reports pertaining to human resource management programs and activities.
Communicates with departments and site administrators for the purpose of providing information and assistance concerning employment, transfers, personnel records, leaves, licenses, and related legal requirements.
Conducts, along with HR Assistant, the employee orientation (e.g. introducing personnel, payroll, employment benefits, policies, etc.) for the purpose of ensuring employees are aware of current practices and administrative processes.
Oversees the activities of HR Assistant for the purpose of ensuring best employment practices are followed and appropriate deadlines are met effectively and efficiently.
Develops a wide variety of written materials (e.g. letters, forms, procedures, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
Responds to written and verbal inquiries from internal and external sources for the purpose of resolving problems, providing information and/or referring to appropriate personnel and recommending a remediation plan.
Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Assists Program Director and Associate Program Directors in coordination and direction of the fellowship training program.

Meets tight deadlines while maintaining quality and accuracy.
Provide full secretarial and admin support to the project team and to ensure the smooth running of the department’s operations.
Maintain records of Engineers and assist in their movements.
Take minutes of meeting and maintain records for the operations and project team.
Develop and maintain document control processes for the efficient management.
Maintain a proper and user-friendly filing and document control system for recording and tracking of all documents.
Assist to check and verify staff claims and invoices for the team.
