1. Handle and redirect correspondence over telephone and email.
2. Direct visitors/parents to various departments after confirmation.
3. Preparation and updating of reports (Annual, termly, monthly, daily).
4. Check deadlines for incoming requests and organize projects according to priority.
5. Maintaining registers for incoming and outgoing documents, courier, lost & found and
parental requests.
6. Sort and distribute incoming post and maintain records of the same.
7. Coordinate calendars, establish meeting schedules, appointments and organize agendas.
8. Prepare and disseminate certificates, letters, memos, notices, and forms.
9. Organize and store paperwork, documents, and computer-based information.
10. Post English courses on the School website.
11. Carry out Admission procedures - admission enquiry, calling parents, ensuring attendance,
sending reports to the Admission Desk, document verification and other related tasks.
12. Liaise with staff in other departments and coordinate external communication.
13. Provide logistic support and maintain stationery and equipment.
14. Update data in ERP as and when required.
15. Maintain confidence and protect operations by keeping information confidential.
16. File and update contact information of employees, customers, suppliers and external partners.
17. Manage parents in a professional and friendly manner at the reception.
18. Ensure efficient formalities of the entire Academic Year.
19. Edit, print and photocopy various documents.
20. Ensure the completion of all other duties as delegated by the reporting manager.
1. Provide word processing and document controlling services including drafting, editing and
formatting various documents such as contracts and quotations, also uploading them to the
company’s database.
2. Fielding telephone calls and editing and prioritizing company email.
3. Provide customer service and maintain customer relations, also provide translation and
interpretational support as required at the reception.
4. Create spreadsheets and presentations whenever required.
5. Organize calendars and also make travel, meeting and event arrangements.
6. Handle daily tasks of photocopying, printing, scanning and filing all office documents.
7. Maintain a proper record of office supplies and other company-related material.
8. Ensure the neatness and arrangement of the office daily in an efficient manner.
9. Summarize the current financial status of the company by collecting information: prepare
balance sheet, profit and loss statement, and other financial reports.
10. Ensure the smooth and efficient running of all activities in the office, and all other duties
entrusted by the Managing Director.
