Admin Executive
Responsibilities:-
• Reporting to the Asst. Managing Director
• Coordination with Service engineers, Sales engineers, Site contractors & Suppliers
• Report preparation & site monitoring of Annual maintenance contracts.
• Attending enquiries & complaints from customer
• Preparation of daily, weekly, monthly reports for ongoing & regular sites
• Scheduling of regular visits for maintenance contract, ongoing sites
• Follow-up of payments from site.
• Track & follow-up of third party laboratory analysis
• Coordination for warranty replacement with the suppliers
• Coordination with the contractors for the variation claims, purchase order & payment
• Filing of site service reports, contract documents etc.
• Weekly enquiry log record.
• Handling day to day accommodation related issues in a proper way in accordance with the guidelines from the management.
• Sort, review, screen and distribute incoming and outgoing mail; prepare, compose and ensure timely responses to a variety of routine written inquiries.
• Schedule and coordinate meetings, interviews, appointments, events and other similar activities for supervisors, which coordinating travel as well as lodging arrangements
• Ensures that the apartments are furnished properly and everything are installed in line with orders.
• Allocate staff & labors upon arrival to their respective flats & camps based on the company guidelines and ensures that the apartments and camps are ready for occupation.
• Maintains appropriates records of camp assets and prepare reports of company accommodation / transportation (flat occupation, costs, furniture, appliances, rent contracts etc)
• Communicates and coordinates with all staff for the maintenance and related issues of accommodation
