Key Accountabilities:
• Manage calendars meetings, events; coordination of travel and hotel accommodation, room meeting
reservation, logistical arrangement; request creation of visitor/material passes
• Delivering comprehensive administrative support of Global/Regional heads, Internal and External across
department functions, Stakeholders, Company Consultants and Auditors
• Handling Global heads visit working visa processing and commercial requests, utilizing the e-GR system and
official online application portals to ensure timely and accurate visa documentation in facilitating seamless
international mobility
• Effective coordination of onboarding/offboarding processes compliance arrangements for newly hired
employees, Project consultants, Auditors and COOP trainees
• Administer request and coordination with IT/Power User for the creation/activation of end-user account; role
access authorization and installations of business system applications software
• Engage with the Project owner to gather comprehensive documentation requirements alignment with POs
processing associated with vendor supplier bidding, profiling information
• Streamlining procurement activities in business operations in handling the ERP (SAP) process requests such
as Purchase Requisitions (PR), Service Entry Sheets (SES), and Goods Receipts (GR) and close coordination
with the end-users requester and following up/monitoring workflow release strategy status approval
• Acted as a focal point for collaboration with internal and external function in providing access link to critical
information
• Liaise with entire organizations to obtain, compile and upload the financial records of SABIC and SABIC
Affiliates legal entities, legal and government required submission documents, management reporting and
contract agreements
• Managing department enterprise documentation EDMS (ECM/SharePoint/OneDrive) web portals governance
• Organizing and updating electronic departmental files and implementing role authorization permissions access
to enhance data security
• Optimizing electronic document management processes to support operational efficiency and data integrity of
departments record
• Assist in preparation of Invoice Verification Certificate (IVC)
• Organize Employee Performance Assessment
• Perform administrative duties for Project Manager, Site Manager and Project Engineers
• Act as a focal contact for coordination ofall activities related to the document submissions to Royal
Commission, Marafiq and other agencies
• Manage Document Control procedure by overseeing the submission of technical documents, shop drawings,
construction drawings, RFIs, NCRs, material submittal from the contractors; and facilitate collaboration of
documenting Minutes of Meetings to track required actions and compliance target dates
• Ensure all documents registers are traceable by creating a system for documentation and control of documents
for circulation
• Create log system; maintain a central Project Filing System; maintain updated records of all approved
documents
• Prepared/dispatching and receiving transmittal documents and all other correspondences
• Monitoring the attendance and preparation of monthly time sheets
• Drafting letter correspondence and assist in preparing reports, spreadsheets, presentations
