Administration:

• Preparing records and maintaining files and statements of all travel transactions.
• Archiving of airline and hotel corporate agreements and other documents received from the Assistant Travel manager.
• Prepare half yearly employee satisfaction travel surveys for management review.
• Liaise with the HR department with regards to onboarding, employee repatriation and travel profile creation.
• Acquiring all travel details of employees and updating the same on the company travel system.
• Reminding, assisting and accompanying the Travel manager to meet with suppliers.
• Attending all telephone calls from suppliers, employees and the accounts teams in an efficient manner and resolve queries.

Accounting:

• Ensure all necessary approvals are in place and raise Travel requisition forms with the correct charge areas.

• Reconcile all travel invoices, prepare statements, attach all supporting documents and clear the invoices for payment to the finance team for payment.

• Provide clarification to the accounts team regarding all queries related to travel invoices.

• Liaise with the Travel agent’s accounting team to ensure all payments have been received and assist them with any pending payments, invoice details, credit notes etc.
