Duties and Responsibilities:

 Answering phone calls, taking right messages and transferring to the right/concerned person.
 Welcoming & assisting guest who comes to the office in a professional way and showing cheerful and friendly attitude while handling their queries all throughout their stay.
 Assisting Office Manager & Marketing Department whenever there is Internal and External Seminars.
 Making sure that all is set up ahead of time for the seminar like conference room, name badges, hand outs for the presentation and the catering service.
 Coordinating with the office assistants to serve our guest.
 Ensuring that conference rooms are always clean and managed properly by office assistants.
 Keeping track of ongoing conference.
 Coordinating to the driver for internal car bookings, document delivery and cheque collections.
 Preparing receipts for payments through cash or cheque and ensuring that all details is provided in the receipt for Clients satisfaction and for Accounts records.
 Discuss things with Line Manager which needs improvement involving Receptionist duties and performance.
 Able to give training and supervise a new joiner receptionist.
 Arranging cakes and invitation every month for Birthdays celebrations for office staff celebrating their birthday for the month.
 Arranging/ordering flowers for special occasions for the company or personal request from office staff.
 Preparing LPO and arranging car bookings for office staff or in case of clients requirements of car.
 Distributing emails to the right person in full confidentiality
 Receiving, distributing and dispatch outgoing couriers. Printing “End of the day” records for couriers for tracking references in the future.
 Assisting new joiners in all departments to process access cards for them.
 Accommodating staff and client request related to work and ensuring things are done on time.
 Flexible in time to cover the front desk at all times.
 Leaving notes for other receptionist about the work, important things to be follow up when I finish my time of duty.
