Job responsibilities:
• Providing secretarial assistance to Director, Office of International Cooperation (Student Exchange Program).
• Reviewing and answering mails and inquires and maintaining confidential correspondence.
• Preparing flyer for Study Abroad Program (Exchange Program).
• Replying to the students queries regarding online application.
• Updating the TOEFL score submitted by the students on the OIC website.
• Generating report after the last date of TOEFL submission and preparing the final reports on the basis of GPA and TOEFL.
• Corresponding with the Students Department to obtain the latest transcripts of shortlisted students.
• Sending the eligible students list to the Ministry of Education for approval.
• Corresponding with universities abroad about the application forms and procedures.
• Emailing selected students to choose three universities of their choice.
• Arranging the forms, transcripts and TOEFL for each student for their respective university.
• Finding a university for the students who are not accepted by their chosen university.
• Organizing orientation workshops for the new students
• Financial document and other documents if any, to be sent to the host university
• Receiving the I-20s from the host university, giving it to the students and instructing them on the visa processing formalities.
• After visa is received helping the students to fill the form for air ticket and scholarship and sending the ticket and arrival details to the host university.
• Collecting the mid-term report submitted by students and sending them to the Exchange Committee for reviewing
• Submitting the official transcripts of the host university to the Registrar's office.
• Maintaining stock of stationary.
• Liaison with administration and other divisions.
• Providing secretarial assistance to Librarian.
• All Human Resources related work (such as leaves, attendance, etc.)
• Reviewing and answering mails and inquires.
• Composing & maintaining confidential correspondence.
• Maintaining stock of stationary.

• Preparing & monitoring monthly duty list of the staff.
• Co-ordination of purchase & payment of all types of furniture, equipment, stationery, etc.

• Assist in computerizing all operations handled in Collection Development & Technical Services Division.
• Maintaining proper records / files of all jobs handled in the division.

• Issuing letters, testimonials / bona-fide certificates to students going for projects, industrial projects and to graduates on request.
• To check correspondence and also official emails and responding to them after consulting with Senior Administrative Officer
• Facilitating the activity chairperson in his day to day activities
• Filing of all correspondence and also the students work reports submitted by the Faculty.
• Attending and responding to the enquiries and providing information about the courses.
• Entering applicant information into the computer system.
• Sending out call letters for the entrance test.
• Assisting the department in preparing the entrance exam.
• Proctoring exams.
• Enter marks into computer and prepare a shortlist of candidates to be invited for an interview.
• Assisting in the student orientation program.
• Issuing identity cards.
• Typing work reports, internal notes, pre-diploma and diploma jury reports.
• Assisting in preparing the index for ‘Young Designers’ - a booklet depicting diploma projects of the students who are graduating.
• Registration of the students who are coming for the convocation and also handing them the ceremonial sash.
