Policies & Procedures:
Implement, update and maintain quality management policy and procedures in coordination with the respective Department Heads and QA/QC.
Raise proactive issues with managers, identify practical solutions to complex and diverse HR issues and recommend appropriate action plans.
Focus on controlling the cost for various expenses to the entire operations activities and increasing the productivity, planning, and implementation as per requirements.
Personnel & Payroll:
Monitor the functioning of Personnel staff, Document Controller and receptionist, scheduling duties and developing standards and procedures for the department.
Coordinate with all department managers and project manager for manpower planning.
Maintaining employee records through online system, updating daily attendance regularly, keeping the track of employees’ visa, passport, Labor card, health card and vacation renewals date and allocating and managing the staff resources according to the needs.
Preparation of salary settlements and maintenance of attendance and leave records necessary for processing payrolls.
Review all wage and salary related personnel transactions to insure compliance with policies and procedures.
Research employee issues with regards to payroll and benefit questions by contacting appropriate department and reviewing the company handbook and policies.
Monitor final settlement (Gratuity, leave etc.) as per labor law and clearance from all departments for resignation & termination for employees.
Managing all Employees vacation i.e. Emergency, midterm, terminal and finalizing employee’s full and final settlement as per labor laws and company’s policy for the Terminated or resigned Employees.
Coordinating with other settlement clerk in the department in completing the Annual Leave Settlement preparation.
Addressing disciplinary issues and issuing warning letters as required.
Work towards resolving employee complaints according to company policies and applicable legal requirements.
Administrative Support:
Maintain all company rental agreements for land, camp offices, labor camps, assets, housing, etc.
Planning and maintenance of accommodation for staff/labor and providing essential central services such as reception, security, catering, waste disposal and recycling.
Coordinate with Labor Administrator on accommodation allocation of staff and with the camps and site to get the clearances for the Settlements.
Addressing employee problems at the Camp and office.
Guide and instruct transport manager on future plans, growth and labor tools, transport requirements, etc.
Monitor application and receipt of all group visas and co-ordinate with PRO to process Visa Cancellation of resigned and terminated employees.
Arrange and prepare all medical insurance policies for staff and labors.
Preparation (LPO) purchase order in ERP System and ensuring efficient data management in Horizon or ERP System.
Recruitment/ Resourcing:
Monitor Group Visa (Overseas), Direct Visas (Overseas) and conduct required interviews.
Recruit professional, technical, clerical, and craft personnel for assigned area.
Monitor use of temporary employment service agencies to ensure continuity of office operations while maintaining cost effectiveness.
Preparing Acceptance of resignation & Termination letters as per company policy & as per labor law to all employees as when required.
