Major Duties and Responsibilities Included:
• Managing and controlling labour camp accommodation which involved cleaning, maintenance, repairs on camp facilities (including plumbing, painting, carpentry, and electrical work), safety and security.

• Providing accurate Daily Reports, Weekly Reports and Monthly Reports to Facility Manager. This included a detailed ‘Monthly Comparative Camp Expenses Report’.

• Carrying out periodical check mainly on Water Pump, Water Tanks, Fire Alarm, Fire Extinguishers, Fire Hose Reel and Equipment in the First Aid Room etc.

• Labourers enlisting, allocating bed-space for new arrivals, issuing housekeeping materials, PPE items, blankets, bed-sheets, pillows etc.

• Receiving and Responding to Internal and External emails independently.

• Arranging Cash Advance for new arrivals.

• Ensuring a peaceful and pleasant stay of workers in the camp so that workers can feel being with their families back home-countries resulting in the achievement of ‘Quality Camp/Reduction in the Absenteeism of Employees from work.’

• Implementation of ‘Good Hygiene Practice’ that keeps the environment clean and prevents the risk of diseases from spreading.

• Ensuring timely disposal of Garbage, Pest Control and emptying Septic Tanks daily.

• Ensuring that the equipment/other relevant items in First Aider’s Room were clean and in good condition for use.

• Updating camp details and employees’ transfers in e-PROMIS.
• Arranging vehicle for sick/injured workers to hospital.

• Overseeing statutory obligations such as Civil Defence Certificate, Third Party Laboratory Certificate for Drinking Water, Laundry Contract, Pest Control Certification and Third Party Certificate for Fire Fighting Equipment, Contract for servicing Lifts, Third Party Certificate for Auto Gas Shut-off System, regular Municipality Inspections etc.

• Making the necessary efforts to control and reduce the camp expenses by avoiding mis-use by workers of electricity consumption, water consumption, gas consumption, etc., when not in use.

• Ensuring that there was no discrimination in the camp.

• Arranging weekly bus trips for workers to do the shopping and for playing football and cricket matches, etc.

• Carefully watching and stopping practicing of any illegal activity within camp premises like using or selling of Alcohol or Heroin, hair cutting business, betting, etc.

• Ensuring Preparatory work for camp Inspection and getting it passed by client M/s. Al Futtaim, UAE. This included all Admin Records.

• Paying top priority to problems raised by workers & was able to sort them out as quickly as possible in the camp itself.

• Preparing and Sending Employee’s Absconding Report to HR Department.

• Ensuring that Security log book was updated daily.

• Raising MPRs (Material Purchase Requisitions) and getting them processed for LPOs.

• Ensuring that the standard company Rules and Regulations were being followed by all workers and issued Warning Letters to those who had violated the Rules.

• Keeping the updated Administrative Forms in stock.

• Ensuring the List of Inventory was up-to-date.

• Teaching Weekly English Grammar Lessons to workers.

• Organizing IFTHAR food during the holy month of Ramadan and organizing X-MAS Party, besides encouraging other Asian Festivals.

• Attempting to avoid being imposed municipality fines by complying with the Rules and Regulations of local Authorities.

• Maintaining an up-to-date filing system (electronic and hardcopy) for an easy retrieval as and when required.

• Downloading Monthly SEWA Electricity and Water Consumption Bills directly from SEWA’s website and paying the same by company provided Credit Card.

MAJOR DUTIES AND RESPONSIBILITIES INCLUDED:
• Managing and controlling the entire labour camp including supervising and coordinating with the maintenance and repairs of the camp facilities including overseeing the overall cleanness, hygiene, safety and security of the camp.

• Carrying out periodical check on the camp facilities. If noticed anything that needed to be repaired or replaced, got the same done as quickly as possible to avoid any inconvenience to workers.

• Allocation of bed-spaces for new workers and issuing cash advance and housekeeping materials.

• Handling daily emails independently.

• Ensuring timely Pest Control, Removal of Garbage and Emptying Septic Tanks daily.

• Ensuring that equipment/other relevant items in First Aider’s Room were clean and in good condition for use.

• Submitting Daily, Weekly and Monthly Reports (Electricity consumption, sweet water consumption, drainage trips, transportation report, gas consumption etc.) This included Bed Space Occupancy Report as well.

• Submitting Monthly Camp Expenses Report which included electricity, water, gas cylinders, cost of sewage tanker trips, transportation costs, sweet water, materials purchased etc.

• Ensuring that there was no discrimination in the camp.

• Ensuring that camp discipline was always maintained at all times and that the published list of standing orders was complied with.

• Filling Penalty Forms for those who were in breach of the company Rules and Regulations and sending the same across to HR Department.

• Submitting Daily Absent Report (based on employees staying in camp only), site transfer confirmation of workers, missing transfer details to HR Manager.

• Attempting to resolve minor problems of workers in the camp itself by not sending them to HR.

• Reporting of Absconding Employee (s) to HR Manager.

• Following-up with HR on employees waiting for ID cards, vacations, cancellation, settlements, renewal of passports, etc.

• Arranging Airport Pick-up for workers.

• Updating the Administration Manager on all camp related matters every day.

• Creating, maintaining and updating Camp Master List which was showing, ID number, name, trade, site, room number, nationality, contact number, date of joining etc.

• Maintaining separate record of Furniture, Air-conditioners, Fridges etc., with tag numbers.

• Coordinating with HR, Admin, Project Sites, Transport Department, Stores and Inventory Team for various things.

• Ensuring that register of visitors, vehicles and materials coming in and out was being maintained accurately.

• Sick workers follow-up and arranging vehicles for hospital.

• Adhering to the Rules and Regulations of local Authorities.

• Collection of passports from employees and arranging them to send to HO Personnel Department under Transmittal.

• Making sure that Labour Camp Emergency Response Plan (ERP) was up-to-date.

• Making necessary arrangements for IFTAR food during the holy month of Ramadan and arranging cricket tournaments.

• Ensuring signboards were well displayed wherever required.

• Preparation of Timesheet for camp staff and maintenance team.

• Arranging to renew camp Lease Agreements and termination of Lease Agreement
